Office is aware that a particular student is facing financial difficulties
so that less pressure is put on the student to come up with their rent
on time. (Disclosure of this sort of information is subject to the need
to observe confidentiality. See section on Keeping Records.)
The Senior Tutor is in regular contact with the College Office and will
be kept informed through the Office staff. This can help when dealing
with issues such as providing College Loans and identifying if there
are more complex problems behind some of the issues presented.




Keeping
As a College Tutor you are not expected to keep detailed records
records
on your tutees. However, any information you choose to keep (for
instance, notes of interviews), even if only for your own use, is
covered by the 1998 Data Protection Act and should be available to
the tutees concerned to examine if they so wish.
The University policy is that all personal information on your tutees
should be treated as confidential and not disclosed to a third party –
including a parent - without the consent of the individual concerned.
When conducting a private interview with a tutee you should first
explain the policy on confidentiality and, if you are going to take
notes, check that the tutee is happy with this.
The only ‘official’ document you need to keep is the College Part 1
Student Record Form. This contains basic contact information about
each tutee, and is usually collected at your first meeting with your
tutor group. The College Secretary will send you blank forms with
your tutees’ photos before your first meeting with them. When you
have collected the required information you will need to make a
photocopy of each form for College Office records.
