Specialising in mobile and remote office solutions, TotemBird has developed TotalResort, a sales
and management system for tour operators. Providing a complete resort management system,
TotalResort is a must for any tour operator wanting to maximise overseas sales and improve
customer service, either using their own staff or a local agent.
TotalResort is browser based and can be used wherever there is an internet connection. The
service is fully managed and hosted by TotemBird and all the customer needs is a PC browser and
Internet connection. The service is available 24 hours a day, 365 days a year throughout the world,
making it ideal for resort based users.
Developed initially for Neilson Holidays, part of the Thomas Cook Group, TotalResort automates the
resort office, taking care of all the sales and administrative functions.
TotalResort has three main user profiles – HeadOffice, ResortOffice and ResortRep.
HeadOffice loads supplier contracts and selling prices for ancillary items such as ski hire, lift passes
and local excursions. Typically these products are pre-sold together with the holiday but can also be
sold locally.
ResortOffice is the back office system for the overseas resort. It manages locally contracted
products as well as bookings from the central reservation system area. All booking and traveller data
can be searched and output to arrival and rooming lists. Prebooked ancillary items can be viewed
and local sales added to the customer record. Supplier invoices can be checked and approved and
there is a banking facility to process local sales and expenses, including a rep cash book. There is
also a standard export to Microsoft Excel and others can be added as required.
ResortRep is used by the local reps to record their excursion and all other sales, process expenses
and reconcile receipts and payments.
TotalResort is a complete resort solution which can either be used as an extension of the central
reservation system or as a stand-alone application. By automating resort sales and administration, it
provides a total view of the business performance, both sales and profitability. The operator’s Head
Office can easily run and view management reports at company, region, resort and rep levels.
Regional and local offices can view similar reports for their own areas. Customer refunds and in-
resort compensation payments can be processed and fed back to the central system.
TotalResort is already used in over 100 resorts and has benefited from four years of continued
product development and enhancement. It’s a fully scalable solution suitable for enterprise size
operators selling millions of holidays a year and specialists with just a few thousand holidays and
anyone in between.
As a fully managed service, TotalResort is available on an annual rental that equates to
approximately 50p per holidaymaker, depending on volume. Looked at another way, that could be
as low as £250 per resort per year! And with average in-resort sales of £150 per holidaymaker with
margins of £40, anything that encourages reps to sell with less administration has to make financial
sense. And with no additional hardware or software to look after, tour operators can concentrate on
selling holidays and maximising the value of their customers.
